About this role

Welcome to the coolest fully remote job where you get to be a BIG contributor in a growing business that is passionate about growth marketing, remote lifestyle, adventure, and work/life balance! This role is a BIG one for our leadership team, you will be the owner of all agency processes — responsible for driving operational excellence across FPS and building infrastructure for growth. We will look to you to bring constant efficiency to FPS and challenge if there's a better way to get things done. We need a go-getter who has worked in agency operations and has a deep understanding of technology and remote work tools. This person should always keep an eye toward asynchronous work, leveraging tools to make our operations better, in addition to being passionate about remote operations and keeping a pulse on best “remote” practices across the globe. You need to be a communication MASTER, ensuring all teams and all roles have clarity around operations, where to go to find information at the agency, and what process to follow. This role reports to our Founder and works closely with her on agency operation needs in a fun, remote-first environment.

As the HEAD OF REMOTE AGENCY OPERATIONS, you will be responsible for:

RESPONSIBILITY #1: Define, Develop & Own FPS Operational Policies & Processes

  • Build out Agency Process Documentation for all Agency Operations to Develop a “Standard Operation Procedure” of How We Do Things at FP
    1. Drive the structure, design, process, and maintenance for all agency operations process documentation. Determine what is missing, what needs to be defined, and a regular cadence to review/update policies

    2. Own Communication Ecosystem of all Agency Process Documentation

    3. Build an asynchronous, remote company training program

RESPONSIBILITY #2: Own Project & Process Management across FPS

  • Drive All Projects Forward in PM System (ClickUp), Keeping a Birds-Eye View of All Task Movement, Deadlines, and Dashboards
    1. Work with our marketing leaders to take our marketing strategies/plans and turn them into actionable tasks in CU
    2. Review client plans/deadlines/deliverables on a daily, weekly, and monthly basis
    3. Lead our Agency Weekly Stand Up
    4. Attend key team meetings, take notes, and assign deliverables and tasks to team members
    5. Develop a process for standardizing client process documentation
    6. Hire & Manage Supporting PM Team
    7. Implement an accountability system: RACI, into everything we do
  • Be Our Agency Tech Stack Champion — Constantly Driving Operational Excellence with Our Tech Stack (ClickUp, Slack, Drive, Zoom, GSuite Admin, 1Password, BambooHR)
    1. Own ClickUp Operations
      • Manage our ClickUp Expert Admin
      • Develop Standardized Agency: Briefs, Project Kickoffs, Project Status Updates & Reporting, Communication of Wins, Milestones, Launches, etc. that are used in CU templates.
    2. Own Slack, GSuite, Zoom Operations & password management

To be successful in this role, you will need:

  • Ability to make quick decisions, research what you don’t know, land on the best operation policy for a remote team, and bring this recommendation to our founder

  • To be fast-thinking with stellar communication skills and the ability to suavely communicate many processes, updates, and standards to remote team members across the globe, and to our founder

  • A strategic mindset and ability to set aside time to identify where processes are breaking down, what can be done better, and bring solutions to the table.

  • To be extremely organized, mapping out process documentation, a clear structure for this, and set dates to manage the upkeep

  • Knowledge of Growth Marketing — specifically SEO, Content, Inbound, and Paid — to understand our agency, what we do, and what the teams are trying to accomplish across PM and tech stack processes

  • To be tech-savvy, understand our tech stack and bring ideas to the table with new Slack integrations or other tools that’ll make our team better

  • A great teammate and leader: someone who can collaborate across many time zones with a focus on asynchronous work, ingest good ideas from wherever they originate, quickly build trust and mutual respect cross-functionally, and implement action plans that drive results.

  • Experience working in a fast-paced and quickly evolving industry, managing multiple projects simultaneously.

  • To be highly organized and a perfectionist, with strong creative problem-solving skills

  • To lead client and team relationships with grace, candor, fun, and professionalism
